Office Manager

Purpose

The Office Manager is an essential position in the smooth functioning of First Methodist Church. The position will typically manage or delegate the church office clerical functions, provide oversight for the custodial and nursery staff, communicate with the congregation and community,  and provide a wide range of support to the clergy and other staff positions. The position is often the first person visitors and newcomers meet at the church, whether by phone, email correspondence, or in person, and this makes the Office Manager an important part of the church's public image and outreach. 

Essential Functions and Responsibilities

  • Recruit, train, and provide oversight for office volunteers who will act as the church receptionists. 
  • Prepare/Coordinate mailings (email and postal) and other distributable information as requested by the clergy  and program staff.
  • Provide oversight for the custodial staff and nursery staff.
  • Attend weekly staff meetings and communicate regularly with office staff to ensure clear and smooth communications.
  • Serve as an informational resource for the clergy and congregation when the office is notified of prayer concerns.
  • Maintain the church database and keep all membership and guest information current.
  • Regularly update the church events calendar.
  • Prepare, edit, and produce all church publications as needed; timely prepare the weekly Sunday bulletin for staff review and publish final bulletins.
  • Serve as the webmaster for the church website ensuring it is kept up to date and all events are advertised correctly and in a timely manner.
  • Review, organize, and reorder as required all church office, custodial, and operating supplies.

  • Strong interpersonal skills: Must be the public facing face of the Church to guests and congregants. Must additionally be able to relate well with all members of the staff.
  • Technical Proficiency: The position will handle a number of technical issues including membership database management, creating graphics, and sending our mass communications.
  • Priority Setting and Time Management: The position is largely self-directed and must be able to handle multiple tasks, as well as manage staff and volunteers.
  • Integrity and Trust: Is trustworthy; practices direct, honest, and transparent communication; keeps confidences; admits mistakes; doesn’t operate with hidden agendas; responds to situations with constancy and reliability.

Qualifications

  • Preferred education –High School or beyond formal education or demonstrated workplace experience sufficient to carry out the duties and responsibilities listed as essential functions.
  • Desired experience – Experience in an office environment and ability to learn new technologies and systems.
  • Hours: Will be established, depending upon the applicant.

The position may be altered to fit the abilities and gifts of the applicant.
